We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks.Duties of the Administrative Assistant include providing support to managers and employees, assisting in daily office needs and managing general administrative activities.
Responsibilities:
- Acting as a virtual assistant.
- Develop and maintain a filing system.
- Update and maintain office policies and procedures
- Maintain contact lists.
- Planning and scheduling meetings.
- Recording the meeting (if required).
- Researching and organizing data
- Performing bookkeeping tasks.
- Keeping confidential information.
- Book travel arrangements.
- Submit and reconcile expense reports
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
- Using technical tools and software such as the Microsoft Office Suite, especially text processing software and Excel spreadsheets.
Skills:
- Proven experience as an administrative assistant or in a similar role
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent verbal and written communication skills
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with Google Suite (Docs, Sheets, Slides) is a plus
- Attention to detail and problem-solving skills
- Ability to work independently with minimal supervision
- Customer service-oriented mindset with a professional demeanor
- Knowledge of basic medical office procedures is an advantage
- Experience in event planning or coordination is a bonus
